You are a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace.

Job Summary:

To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication (bilingual English/Spanish preferred). Most importantly, administrative assistants should have a genuine desire to meet the needs of others.

Summary of essential job functions:

• Manage the day-to-day administrative affairs of the President, Executive & Sales Teams. Provide President & Team with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, interviews, etc.
• Maintain an efficient flow of information between all levels of the President & Team's internal and external contacts on Speedling's plans and priorities.
• Process all incoming and outgoing correspondence received. Follow up with staff to ensure deadlines are met.
• Make and review all travel arrangements as requested and process travel expense reports.
• Take minutes at meetings and follow up on assigned items, providing support to Executive Team as needed.
• Maintain Board resolutions, maintain files used by the Executive and corporate files, applying Speedling rules pertaining to retention.
• Data entry of labor trackers, maintain schedules in T&A system, prepare monthly calendars of Employee birthdays & anniversaries.
• Participate in the Employee Enrichment/Wellness committee.
• Assist employees as needed.
• Respond to and handle confidential and sensitive information with poise, tact, and diplomacy.

Minimum Required:

• Bachelors degree preferred
• 5+ years experience
• Bilingual (able to speak & write English/Spanish fluently)
• Expert knowledge of MS Office
• Clean criminal history and drug free
• Willingness to work nights and/or weekends if needed
• Ability to take initiative and work with minimum supervision, Self motivated
• Able to tolerate greenhouse elements such as heat, cold, water and dirt
