Beacon Hill Legal is seeking a Legal Assistant to join a national law firm with a strong Dallas presence. In this role, you will play a crucial part in delivering high-quality legal services to clients by providing comprehensive administrative and secretarial support to attorneys. Your responsibilities will include a mix of complex and specialized tasks, as well as general administrative duties. This opportunity is direct hire, full time, and is hybrid following the initial 90-days (one day remote).

Essential Functions:

• Prepare routine correspondence, memoranda, and legal documents
• File court documents electronically and in paper form
• Anticipate the needs of assigned attorneys to enhance efficiency
• Proofread documents for accuracy and completeness
• Prepare and submit client intake forms accurately
• Organize and maintain patent-related files, databases, and client correspondence
• Communicate with clients and other parties to gather necessary information for patent applications
• Monitor patent application deadlines and assist attorneys with timely submissions
• Prepare and submit Information Disclosure Statements (IDS) to the patent office
• Assist in preparing responses to Office Actions from patent offices, including the USPTO and foreign patent offices
• Coordinate with foreign agents to manage international patent filings and prosecution
• File patent and trademark documents with the USPTO, ensuring accurate submission
• Support attorneys in patent litigation by assisting with document review, discovery requests, and other tasks
• Prepare patent-related reports, charts, and presentations for internal and external use
• Update contact records in Outlook and firm databases
• Request pre-bills and statements for billing purposes, prepare statements for signatures, and send them out
• Review and follow up on client deadlines and calendar appointments
• Coordinate arrangements for meetings, depositions, mediations, interviews, and attorney travel
• Assist with completing and tracking CLE compliance, presentations, training programs, and organizing non-billable activities
• Answer telephones, take messages, provide information, and receive information related to legal matters
• Prepare and send faxes, documents, mail, certified mail, overnight mail, FedEx packages, and interoffice mail
• Serve as a Notary Public, if applicable

Requirements:

• High School Diploma required; Bachelor's degree preferred
• Prior experience as a Legal Assistant required; patent prosecution and litigation experience strongly preferred
• Strong knowledge of legal terminology, documents, and processes in patent litigation
• Advanced computer skills, including MS Word, Outlook, Excel, document management systems, e-Filing, and database software; NetDocs experience preferred
• High accuracy, attention to detail, and organizational skills
• Ability to work effectively under pressure in a fast-paced environment
• Ability to manage multiple tasks concurrently and meet deadlines
• Strong client service focus and ability to work well in a team
