Job Description
Weco International is seeking a highly organized and versatile Administrative Support Specialist to join our team. The ideal candidate will provide essential support in various administrative functions, including answering phones, order entry, sales quotes, invoicing, purchasing, accounts payable, customer service, and shipping and receiving. This role requires excellent communication skills, attention to detail, and the ability to adapt to changing priorities.
Key Responsibilities:
Answer incoming phone calls, direct calls to appropriate staff, and provide accurate information to callers.
Process sales orders, including data entry, order verification, and ensuring accurate pricing and inventory availability.
Prepare and send sales quotes to customers, following up to address any questions or concerns.
Generate and distribute invoices, ensuring timely and accurate billing.
Process accounts payable transactions, including verifying invoice accuracy, obtaining proper approvals, and scheduling payments.
Coordinate purchasing activities, including placing orders, tracking deliveries, and maintaining vendor relationships.
Provide exceptional customer service, addressing inquiries and resolving issues in a professional and timely manner.
Assist with shipping and receiving tasks, including preparing shipping documentation, coordinating with carriers, and processing incoming shipments.
Maintain accurate records and files, ensuring proper documentation and organization.
Collaborate with other departments to ensure smooth workflows and efficient operations.
Qualifications:
High school diploma or equivalent; associate's degree or certification in a related field preferred.
Minimum of 2-3 years of experience in administrative support, customer service, or a related field.
Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
Strong knowledge of administrative procedures and systems, including data entry and record-keeping.
Excellent communication and interpersonal skills, with a focus on customer service.
Strong attention to detail and organizational skills.
Ability to prioritize tasks, meet deadlines, and adapt to changing priorities.
Familiarity with shipping and receiving processes and documentation.
