Position Overview: The Administrative Assistant will support the Office Manager and the organization by managing day-to-day administrative tasks, ensuring smooth operations, and providing excellent communication with staff and volunteers. This individual will serve as the first point of contact for visitors and callers, demonstrating kindness and professionalism while advancing the mission of SFJ. The AA will also be responsible for organizational and clerical tasks, maintaining inventory, managing communications and leading volunteers.

Key Responsibilities:

Administrative Support:

  • Manage incoming calls, emails and visitors as the first point of contact with kindness and professionalism
  • Timely follow-up to emails and communications 
  • Become proficient in donor-based software eTapestry
  • Prepare and mail letters to donors and volunteers
  • Occasional website updates using WordPress
  • Enter checks and make weekly bank deposits
  • Provide leadership and support for mass mailings
  • Maintain organized and accurate records and files

Event and Volunteer Coordination:

  • Assist with planning and executing events, including annual fundraisers (fall luncheon & summer stroll)
  • Create Monthly Leader Schedule for SOS Volunteer Events 
  • Prepare the warehouse before SOS events
  • Showing appreciation to our volunteers & leaders, a valuable part of our team
  • Assist with the planning of annual team trip to Africa and a desire to serve in Africa
  • Assist with emptying local collection sites and coordinate a volunteer to pick-up when needed
  • Able to lift bags of shoes or boxes when needed
  • Oversee and provide support for those who organize shoe drives

Communication and Outreach:

  • Strong communication skills with co-workers and volunteers
  • Prompt replies to emails and inquiries
  • Draft and edit correspondence, reports, and promotional materials.
  • Help maintain social media platforms and assist with providing content.
  • Represent SFJ at schools, churches and events by speaking (staff takes turns)
  • Lead volunteer SOS Events with other leaders

Special Projects and Clerical Tasks:

  • Support special projects as directed by the Office Manager
  • Contribute to our monthly e-newsletter with writing and editing
  • Assist with research, data entry, and report preparation for grants or other projects
  • Being a team player by supporting organizational needs as they arise
  • Assisting with photo projects, calendars and cards
  • Maintain inventory of office supplies, ensuring availability and organization

Qualifications:

  • A committed Christ follower
  • Personable, friendly and teachable
  • Associate or Bachelor’s degree preferred (or equivalent experience)
  • 1-3 years of experience in an administrative or support role
  • Strong reading, writing and communication skills
  • Proficiency with Microsoft Office Suite, Google Workspace, and relevant software
  • Familiarity with social media and content creation
  • Strong organizational skills with an attention to detail
  • Ability to manage multiple priorities and meet deadlines in an exciting environment
  • Commitment to the overall mission
